Responsibilities

Summary:

The Regional Distribution Center (DC) Administrator is responsible for managing location office administrative tasks, facilitating local customer activities, and providing regional HR support, including recruitment, onboarding, and offboarding. This role is vital for ensuring smooth operational flow within the distribution center and maintaining high levels of customer and employee satisfaction. This postion supports the DC North Region, which includes Denver, CO; Hayfield, MN; Oelwein, IA; Iowa City, IA; Indianapolis, IN; Lexington, KY; Nashville, TN; New Castle, DE; and Wahpeton; ND. 

 

Primary Job Responsibilities:

 

Location Office Administration

  • Manage daily office operations, including answering phones and emails, handling physical mail, verifying timecards, invoicing, supporting POs/BOLs/RMAs, and maintaining office and operational supplies.
  • Coordinate meetings, prepare agendas, and take meeting minutes.
  • Maintain accurate and organized filing systems for both physical and electronic documents, send employee records to Corporate for recording keeping.
  • Assist in preparing reports, presentations, and correspondence as needed, especially compliance posters, Digital Signage Boards, and distribution of companywide/employee all communication.
  • Supports visitors and other Corporate administrative requests as required.
  • Contact preferred vendors related to location as needed such as vending, housekeeping, waste management, maintenance, etc.

 

Local Customer Service

  • Oversee local customer service operational administrative activities, ensuring timely and accurate order fulfillment.
  • Generates bills-of-lading and order entry maintenance with the help of the Order Management team.
  • Coordinate with the yard team to prepare orders for customer pick-up, helps administer inbound operational activities.
  • Coordinates with the driver team on customer deliveries and required information, helps administer outbound operational activities.
  • Communicate effectively with customers regarding pick-up, deliveries, schedules, procedures, and any issues or delays.
  • Monitors UPS and small freight orders and shipments.
  • Supports interplant and return merchandise authorizations (RMA) logistics activities.
  • Resolve customer inquiries and complaints in a professional and efficient manner.

 

 

Regional HR Support

  • Assist in the recruitment process, including posting job openings, screening resumes, and scheduling interviews.
  • Facilitate the onboarding process for new hires, including preparing orientation materials and conducting initial training sessions.
  • Manage the offboarding process, ensuring all exit procedures are followed and necessary documentation is completed.
  • Maintain employee records and ensure compliance with HR policies and regulations by sending documents to Corporate HR and payroll teams.
  • Ensures a safe and inclusive work environment, supports Stop Work Obligation program.

 

Coordination and Communication

  • Serve as a liaison between the distribution center and the corporate HR department.
  • Communicate company policies and updates to local employees.
  • Coordinate with various departments to ensure alignment and efficiency in operations.
  • Provide regular updates and reports to the Distribution Center Manager.

 

Support and Problem Solving

  • Address and resolve operational issues related to office administration and customer service including backorders.
  • Provide support to employees regarding basic HR-related inquiries and concerns such as questions related to training, benefits, retirement and/or payroll along with login assistance to ADS platforms such as ASPIRE, ADSmyHR, ADP Time, JJ Keller, Worklete, etc.
  • Continuously identify opportunities for process improvements in administrative and HR functions.

 

Qualifications:

This position requires the flexibility to work 40 + hours per week and weekends as required.

Minimum of 2 years of experience in office administration, customer service, or HR support.

Educational Requirements:

High school diploma or equivalent; an associate or bachelor’s degree in business administration, Human Resources, or related field is preferred.
